The Scope and Term of Managed Data

The processed personal data may include your name, email address, telephone number, company name and position.

The term of data management is the period of customer relationship between the data controller and the concerned party, or until you revoke your consent. Should you revoke your consent, we will manage your data in accordance with the applicable law.

Please be informed that the deletion does not consider the legitimacy of the data management for the period before the deletion.

The Purpose of Data Management / How We Use Your Information

The purpose of data management is to identify and distinguish users, get in touch with them, provide tailor made experience, grant access to certain documents or services, prepare statistics (each if any).

We use the information collected by us in various ways, including to:

We do not make automated decisions on our website. Google Analytics is used on the website, however only statistical data of generic characteristics are processed, individual identification is not possible.

Internal reports and statistics for targeted communication (sales / marketing) may be prepared by human intervention with regards to orders placed on our website.

Log Files

cytocast.com follows a standard procedure of using log files. These files log visitors when they visit websites. All hosting companies do this and a part of hosting services’ analytics. The information collected by log files include internet protocol (IP) addresses, browser type, Internet Service Provider (ISP), date and time stamp, referring/exit pages, and possibly the number of clicks. These are not linked to any information that is personally identifiable. The purpose of the information is for analyzing trends, administering the site, tracking users’ movement on the website, and gathering demographic information.

Like any other website, cytocast.com uses ‘cookies’. These cookies are used to store information including visitors’ preferences, and the pages on the website that the visitor accessed or visited. The information is used to optimize the users’ experience by customizing our web page content based on visitors’ browser type and/or other information.

Third-party ad servers or ad networks use technologies like cookies, JavaScript, or Web Beacons that are used in their respective advertisements and links that appear on cytocast.com, which are sent directly to users’ browser. Another part of our priority is adding protection for children while using the internet. We encourage parents and guardians to observe, participate in, and/or monitor and guide their online activity.

cytocast.com does not knowingly collect any Personal Identifiable Information from children under the age of 13. If you think that your child provided this kind of information on our website, we strongly encourage you to contact us immediately and we will do our best efforts to promptly remove such information from our records.

Job Applications

Cytocast periodically seeks proposals for various job positions, which can be submitted via several channels. Your personal information or documents including such data (e.g. CV or resume) submitted with your application to a particular position will be handled and controlled according to the applicable law by Cytocast. If your application was not granted, your data files will be stored in Cytocast database for six (6) months from the day of the hire decision made in connection with said position. Upon your consent, such period might be extended to two (2) years, and we will keep your resume on file for future vacancies.

Annex 1 – Contact Forms and Report Downloads

The special terms in this Annex 1 are complementary to other sections of this Privacy Policy. It covers and governs terms and conditions that differ or alter from or amend the same set forth in this Privacy Policy. The provisions of this Annex 1 should be interpreted together with other sections of this Privacy Policy to understand complete terms and conditions regarding Cytocast's contact forms and report downloads. Provisions of other sections of this Privacy Policy also apply. Therefore, it is strongly recommended to check and read all sections. If there is any inconsistency or conflict between the provisions of this Annex 1 and other sections of this Privacy Policy, terms and conditions of this Annex 1 shall govern and control Cytocast's contact forms and report downloads.

Who We Are

Cytocast collects and processes personal data when visitors contact us, request information, or submit a form to access a sample report or other gated resource.

Personal Data We Collect

If not stated otherwise herein, this Annex 1 (a) applies only to our online activities and is valid for visitors to our website with regards to the information that they shared and/or collect in cytocast.com; (b) is not applicable to any information collected offline or via channels other than this website.

For gated report downloads, we collect the full name and email address submitted in the form, the requested resource, consent confirmation, and a submission timestamp. Contact forms may also collect company, area of interest, and message details.

White paper requests use your full name and email address to personalize and send the requested PDF attachment. This request does not subscribe you to marketing communications.

Purpose of Processing

We use this information to provide access to the requested report, maintain a record of consent, respond to inquiries, and send future Cytocast marketing communications such as newsletters, product updates, or related scientific and commercial information.

Legal Basis and Consent

Marketing communication is based on explicit consent. The consent checkbox is mandatory for gated report access and is not pre-selected. You may withdraw consent at any time by contacting us at info@cytocast.com.

The separate white paper form asks you to acknowledge this policy and request delivery by email. It does not collect marketing consent.

Storage and Processing

Contact form submissions are processed through Formspree and made available to Cytocast for follow-up and consent recordkeeping. We restrict access to submitted data to personnel and service providers who need it for the purposes described in this policy.

White paper requests are processed by the Cytocast website backend and Microsoft 365 email services. The PDF is retrieved from private Azure Blob Storage. The backend does not maintain a mailing list; sent messages are retained in the sender’s Microsoft 365 mailbox. A personalized browser copy, including your greeting name, is retained in private Azure Blob Storage so its link remains available after website updates. Anyone with that unique link can view the copy; it does not include your email address or the PDF attachment. A separate private request record stores the name and email address submitted through the form; this record is not accessible through the browser link. Temporary abuse-prevention counters store hashed identifiers and expire within an hour.

Retention

We retain personal data for as long as necessary to provide the requested information, maintain consent records, support legitimate business follow-up, or comply with legal obligations. If you withdraw consent, we will stop sending marketing communications.
